Or you can engage Epic Travel Designer to take care of the detailed planning, bookings, coordination and practical details required to turn that design into your actual holiday.

Your Travel Design Proposal established the overall journey.

Now we go deeper.

We develop the itinerary day by day, select the appropriate travel services, work through the logistics and coordinate the individual arrangements required along the way.

We select and arrange accommodation that works with your preferences and the journey we’ve designed.

Sometimes the best hotel isn’t simply the one with the most stars.

Location, transport connections, room configuration, accessibility and how the hotel fits into the next day’s plans can matter just as much.

Transport & Transfers

Trains. Flights. Ferries. Private transfers. Car rentals. Public transport.

We work out the appropriate combination for your journey and arrange the transport services required.

Guides & Experiences

Private guides, day tours, activities, performances and experiences are incorporated into the itinerary where appropriate.

We also work around operating days and availability so the experiences that matter to you fit naturally into the journey.

Tickets & Reservations

Some of the smallest arrangements can cause the biggest headaches when they’re forgotten.

We assist with tickets and reservations required for the journey, including popular attractions and experiences that may need to be secured well in advance.

Dining

If dining matters to you, we’ll take your preferences into consideration and assist with restaurant reservations where required.

That might mean a special dinner, a particular style of cuisine or simply finding somewhere suitable near your hotel after a long travel day.

Your completed journey is delivered through our travel app, keeping your itinerary and important travel information organised in one place and accessible while you’re travelling.

THERE IS STILL ROOM TO REFINE THE DETAILS

Accepting your Travel Design Proposal doesn’t mean every small detail of your holiday is immediately set in stone.

The proposal establishes the journey.

During Custom Travel Planning, we continue working with you on the finer details as the itinerary is developed.

Perhaps there are two hotels that could work.

Perhaps you’d rather change an activity.

Perhaps we discover that an experience isn’t available on the planned date and need to adjust the day.

That’s part of turning a travel design into a real journey.

Once arrangements are confirmed, supplier terms and conditions will apply to subsequent changes.

YOUR INVESTMENT

50% Deposit of the Final Tour Fare Quoted

Your Travel Design Proposal Fee will be credited as part of your final tour fare.

Once your deposit is received, we begin the detailed planning and arrangements for your journey.

The remaining balance is payable according to the payment schedule provided with your booking.

BEFORE YOU TRAVEL

Before departure, we’ll make sure you have the information you need for your journey.

Your itinerary, confirmed arrangements and essential travel details will be organised for you.

We’ll also walk you through anything you need to know before leaving so you aren’t standing at the airport wondering what happens next.

By the time you leave, the thinking and planning should already have been done.

WHILE YOU'RE TRAVELLING

Our job doesn’t end when your holiday begins.

If something unexpected happens during your journey, you can contact us for assistance.

Where possible, we also work with trusted local partners who can provide support at your destination.

A train may be cancelled.

Weather may affect an activity.

A transfer may be delayed.

Plans sometimes change while you’re travelling.

You don’t have to work out every disruption alone.

AND WHEN YOU COME HOME

Sometimes a travel issue follows you home.

If you need supporting information or documentation for a travel insurance claim relating to services arranged through Epic Travel Designer, we’ll help provide the relevant records available to us.

We can’t decide the outcome of an insurance claim, but we can help you gather the documentation relating to the arrangements we made for your journey.

HOW LONG DOES CUSTOM TRAVEL PLANNING TAKE?

Depending on the length and complexity of your journey, detailed planning can take anywhere from approximately 7 days to one month.

A simple journey may come together relatively quickly.

A multi-country journey involving numerous hotels, transport arrangements, guides, activities and different suppliers naturally takes longer.

We don’t rush the process simply to produce an itinerary quickly.

The aim is to make sure the journey works.
